Pladis Conference

The Brief

Following a competitive tender, the client brief was to deliver a conference for circa 100 delegates across multiple days with a mix of internal and external speakers along with a gala awards dinner and teambuilding activities aimed at working together and creating a fun atmosphere with a healthy amount of friendly competition.

Delegates were coming from all over the world for this event, so it was essential to ensure all aspects were inclusive. Their previous event had been beset with a lot of problems, and there were many issues. The client was nervous that this year’s event would face similar challenges and wanted to try and improve it.

The Solution

Following numerous discovery sessions to understand the client's requirements and priorities, inclusivity was considered important as delegates were coming from various regions worldwide. Another focus was incorporating a sense of fun. We collaborated with them to compile their content that needed sharing and brainstormed ideas on presentation methods. Based on their ideas and values, we proposed a Treasure Hunt teambuilding activity at the end of day 1 to facilitate teamwork and exploration of the town.

We scheduled a mix of internal and external speakers over the 2 days, culminating in a gala awards dinner at the end of day one. Using our in-house AV services, we created a custom set design with staging and lighting to enhance the room's atmosphere. Additionally, we provided décor and star cloth to transition the room seamlessly from conference to dinner, creating an impressive effect for the guests. The conference concluded with a musical bingo teambuilding activity, which was highly successful. Client feedback has been extremely positive.

Key Elements Included

As part of the brief The Events Company brief we delivered the following key elements;

• Venue: We sourced a venue near Birmingham Airport for international delegates.
• Delegate Management: Transfers between Birmingham Airport and the venue were arranged.
• Stage Set Designed: A 12m wide stage set was built to represent the pladis brand.
• AV Production: Dynamic lighting and strategically placed speakers ensured sound clarity.
• Onsite production support: Our team managed logistics and technical aspects seamlessly.
• Team Building: A GPS treasure hunt allowed delegates to explore Stratford-upon-Avon.
• Awards & Gala Dinner: The conference concluded with a formal dinner and awards ceremony with elegant décor and live entertainment.
